Quick answer

Business AI automation connects the tools you already use (WhatsApp, email, CRM, spreadsheets, Google tools) so repeated tasks such as lead follow-up, reporting and research run automatically, with people approving anything sensitive. Vyntra scopes each workflow separately.

Agent workflow

How one request moves through a team of agents.

A mockup of how we design multi-agent systems. Work comes in, a router decides who should handle it, specialists use the right tools, and the results feed back so the next run is better informed.

  • 1 · InputsClient requests, internal ideas, market news and scheduled triggers.
  • 2 · AI routerClassifies each request, plans the steps and assigns them to the right specialists.
  • 3 · Specialists and toolsStrategy, research, analytics, creative, engineering and more, each with its own tools.
  • 4 · OutcomesDeliverables, insights and actions, checked by a person where it matters, then learned from.

The number of agents in the mockup is illustrative. Your system is scoped to the work you need.

Map the process before choosing the tool

Most automation projects that fail do so because the process was never written down. Before connecting any tool, we map the workflow: the trigger (a new enquiry, a completed job, an updated spreadsheet, the first day of the month), the information needed, the decision being made, the output, and the person responsible when something goes wrong.

If the process is unclear, automation repeats the confusion faster. So the first deliverable is often a simpler process: fewer steps, agreed business rules, and a clear definition of what "done" looks like. Only then do we choose between WhatsApp, email, Google Sheets, a CRM, your accounting software or a custom dashboard.

Example: every WhatsApp enquiry reaches the right person

SampleA fictional car service workshop in Klang

The workshop receives enquiries through WhatsApp Business, its website form and Facebook. Today they land on the owner's phone and are forwarded by hand. Some are missed on busy Saturdays.

  1. New enquiries from the agreed channels are collected in one place with the customer's name, number, car model and request.
  2. The workflow checks required fields and suggests a category: service booking, repair quote, tyre enquiry or insurance claim. Uncertain cases go to a review queue instead of being guessed.
  3. A structured record is added to a Google Sheet or a supported CRM, with duplicate handling so the same customer messaging twice does not create two leads.
  4. A reply is drafted for the front desk to approve, with available slots pulled from the booking calendar.
  5. Unanswered enquiries older than two hours are flagged to the owner.

Drafting a reply and sending it are separate steps. Whether any message is sent automatically is a decision made explicitly for each channel, not a default.

Example: the monthly report without the copy-paste

Many Malaysian SMEs spend the first days of each month copying figures from Shopee and Lazada seller centres, the website, Google Ads, Meta and the accounting system into a spreadsheet. A reporting workflow can collect those figures from exports or supported APIs, keep the date and source of each number, and prepare a summary.

The important work happens before any code: agreeing definitions. Does "sale" mean an order placed, paid or delivered? Does a "lead" include someone who only asked for the price? Once "lead", "sale" and "active customer" mean the same thing across the report, the numbers can be compared month to month. Missing data is flagged rather than silently treated as zero, and a large movement links back to its source so someone can check it before a decision is made.

Example: quotations for a B2B supplier

Imagine an electrical components distributor in Penang that receives requests for quotation as PDFs and emails. An automation can extract the items and quantities, match them to the product list, look up current prices and stock from the agreed source, and prepare a draft quotation in the company's template. A sales executive reviews prices, discounts and lead times before it goes out. The time saved is in the typing and lookups; the commercial judgement stays with the salesperson.

Design for the situations that go wrong

Accounts expire, passwords change, APIs are updated, records arrive twice and required fields go missing. A workflow that only handles the happy path will fail quietly within weeks. We specify, for each workflow:

  • retry rules, and what happens after the last retry fails;
  • duplicate prevention;
  • a review queue for uncertain or incomplete items;
  • a simple way to pause or stop the workflow;
  • logs that make a failure diagnosable without storing more personal data than needed.

Customer data deserves particular care. Malaysia's Personal Data Protection Act 2010 (PDPA) applies to personal data processed in commercial transactions, and messaging customers who have not agreed to hear from you can damage trust and create compliance risk. We design with those obligations in mind, but we are not your legal advisers; your own policies and advice decide what is permitted.

A custom AI operating system

When several workflows share the same context, a custom dashboard can bring their queues, approvals and statuses into one place: new enquiries waiting for a reply, quotations waiting for approval, reports ready to send. The purpose is operational clarity, not another screen to maintain. We built Vyntra OS this way for our own SEO delivery; a client system is separate and built around your processes, not ours.

If the need is mostly one person's daily work, such as briefings, drafting or finding documents, a personal AI workspace may fit better.

How a project runs

  1. Discovery. We map one process with the people who do it, and agree what success looks like, for example "no enquiry waits more than two hours for a first reply".
  2. Feasibility. We confirm the tools involved have supported APIs, exports or integrations on your account plan. If a connection is not possible, we say so before quoting.
  3. Build the smallest useful version. One workflow, tested with real examples.
  4. Run alongside the old way. For a week or two, compare results before switching over.
  5. Hand over. Documentation of the connections, account ownership, expected running costs and what needs maintenance.

Agree costs and permissions before the build

Setup, ongoing care and third-party usage are separate cost categories. Model, messaging, hosting and paid integration charges depend on the services chosen and how much they are used, and are usually billed to your own accounts. New integrations or changed requirements after the build can affect the scope. Business automation is not included in the managed RM399 SEO package.

Bring a description of one repeated task to a first conversation: what triggers it, who does it now and how long it takes. We will assess the smallest useful implementation and how you will know whether it works. To see the same design principles applied to SEO, read how Vyntra OS works or meet the six AI agents.

FAQ

Questions people ask

Can you connect any CRM?

Connections depend on the CRM's supported API, your account plan and permissions. We confirm feasibility before committing to an integration.

Will the system send messages automatically?

Only if that specific action, channel and approval policy are explicitly agreed. Drafting a reply and sending it are separate steps.

Is automation included in the RM399 SEO package?

No. Custom business systems and integrations are scoped and quoted separately from managed SEO.

Do we need to change our tools?

Usually not. We start with the tools you already use, such as WhatsApp Business, Google Sheets, email and your CRM, and only suggest changes if a tool cannot support the workflow.
